Who we are

Alder AI Labs provides AI powered systems that help businesses manage enquiries, bookings, and customer interactions.

What data we process

We may process personal data on behalf of our customers, including:

• Enquiry information
• Call interaction data
• Website request data and form submissions where applicable

For nursery clients, this may also include limited child enquiry information where a parent or guardian provides it during a call, such as child name, age, expected start date, or visit preferences.

How data is used

We process data solely to provide our services, including:

• Handling enquiries
• Supporting booking processes
• Improving system reliability
• Supporting customer operations

We do not use customer data to train AI models.

Legal basis

Our data processing practices are designed to comply with the UK General Data Protection Regulation (UK GDPR), EU GDPR (Regulation EU 2016/679), and the Data Protection Act 2018.

Where we process data on behalf of customers, our customer is usually the data controller and Alder AI Labs acts as the data processor.

The customer determines the lawful basis for processing, which may include legitimate interests, contractual necessity, or another lawful basis depending on their own circumstances.

AI systems and regulation

We design our AI systems with UK and EU GDPR principles and responsible AI practice in mind. We use the EU AI Act as a reference framework for responsible AI design, particularly given the sensitive context of nursery and childcare settings.

Our approach to AI includes:

• Processing only the data necessary to deliver the service
• Keeping nursery staff informed and in control of how the system operates
• Operating transparently with parents about AI-assisted call handling
• Never using customer data to train AI models
• Supporting human oversight at every stage

Data storage and location

Where possible, data is processed within the United Kingdom and European Economic Area.

Data retention

We retain data only as long as necessary to provide our services, unless otherwise agreed with our customers.

Your rights

Individuals may have the right to:

• Access their data
• Request correction
• Request deletion
• Object to or restrict certain processing

Requests should usually be directed to the organisation you contacted, as they are the data controller. Alder AI Labs can assist customers with access, correction, or deletion requests where reasonably possible.
